Working together, not for, a Non-Profit Organization – Capelands Financial Solutions

Arisen Women Foundation, a Non-Profit Organization (NPO), established 19 years ago, was looking for an accountant after they were registered for VAT in March 2018. Their primary aim was to appoint an accountant with an understanding of NPO financial management, who could deal with SARS, submit VAT claims timeously, and, who, most importantly for the Arisen Women Foundation, understood the NPO’s business needs.

The foundation’s core business is Community Oriented Primary Health Care. It also offers community after school services where underprivileged children enjoy a meal, complete their homework, and are encouraged to read through their reading programme using fun and games. Psycho-social support groups for adults and children are run by the Foundation as well, and they support their own staff of 143 women through their Care for the Carer programme.

When looking for an accountant, Arisen Women Foundation had, on numerous occasions, contacted different accountants. Some had been referrals, others they had found online. Unfortunately, some took weeks to respond to their emails, whilst the quote others submitted was too high for an NPO. When Capelands Financial Solutions was contacted by the NPO on 2 September 2018, after they found her brochure by chance and contacted the firm by email, Karen Boonzaaier replied on the same day and a meeting was set up to meet on 4 September 2018.

Before Capelands Financial Solutions was appointed as their accountant, Arisen Women Foundation had faced challenges regarding reconciliations with SARS as well as VAT return submissions. Once appointed, Karen professionally helped the organisation and offered them exactly the service the NPO requested.

Karen stated, “When Capelands Financial Solutions was first appointed, we received a set of audited AFS for the end of March 2018 and we had to bring their accounts up to date. The first set of management accounts were for the period April to October 2018.”

“Furthermore, the NPO had more than one bank account and a large payroll so I had to subscribe to Pastel Bank Manager to make monthly processing more effective and efficient. We now do the monthly accounting processing for them, they do their own payroll and I report to SARS on VAT. Capelands Financial Solutions will be working with auditors to complete the audited AFS soon after year end in March 2019.

Arisen Women Foundation currently uses Pastel Payroll but plan to get Pastel Accounting training soon. The only other software used is SARS’s e-Filing for reporting purposes.

Arisen Women Foundation remarked that if they had not appointed Karen at the time they did, the organisation would now be in the red. Since Capelands Financial Solutions’ appointment, they had received 95% of their VAT returns back to date and were awaiting the rest of their VAT return. Currently, the organisation has a positive balance, which is a great achievement for an NPO and this should remain at their financial year end.

They stated that “Karen’s success is that she is keen to work with us not just for us. In all honesty Capelands Financial Solutions has been the perfect fit for Arisen Women Foundation. Karen understands how we work, what is important to us in terms of financial management needs for funding purposes and reporting to our board members.”
